Terms of use
Last updated: 18 October 2026
These terms are an agreement between you and Samuel Suite Pty Ltd (ACN 703 257 354, ABN 43 703 257 354), of Brisbane, Australia ("Samuel Suite", "we", "us"). They cover your use of Samuel Suite, our practice software for homeopaths. By creating an account or using Samuel Suite, you agree to these terms, our Privacy Policy and our Refund policy.
We've kept them in plain English. If anything is unclear, email hello@samuelsuite.com before you sign up.
1. Who can use Samuel Suite
- Samuel Suite is for qualified homeopaths and homeopathy students, aged 18 or over, using it in their own practice or studies.
- It is not for members of the public or for home prescribing.
- Each account is for one practitioner. Don't share your sign-in with anyone, including staff or colleagues.
2. Your account
- Keep your password and authenticator app secure. Two-step sign-in is required on every account.
- You're responsible for what happens under your account.
- Tell us straight away at hello@samuelsuite.com if you think someone else has got into your account.
3. Plans and payment
- Our plans and prices are on our pricing page. Australian prices include GST. Prices in other currencies are shown at checkout, with any local tax.
- Our order process is run by our online reseller Paddle.com, which is the Merchant of Record for all our orders. Paddle takes your payment, sends your receipts and handles tax. Paddle's own buyer terms also apply to your purchase.
- Your subscription renews automatically at the end of each month or year until you cancel. You can cancel any time; your plan then runs to the end of the period you've paid for.
- If we change a price, we'll tell you at least 30 days before it applies to you. The new price starts at your next renewal after that notice.
- Refunds are covered by our Refund policy, including our 30-day money-back guarantee.
- The Founding Member plan has extra terms, set out in the Founding Member schedule below.
4. Active clients
- The Essentials plan includes up to 40 active clients. The Essentials Unlimited plan and the Founding Member plan have no client limit.
- An active client is a client with an appointment in the last 3 months, or an appointment booked.
- If you go over your plan's limit, you can always open, update and export your existing clients, and keep booking their appointments. Adding new clients, or bringing back inactive ones, pauses until you change plans or your active clients drop back within the limit. Samuel Suite shows you a warning on your home page from 35 active clients, and tells you again when you reach 40.
5. Your clients' information
You hold the treating relationship with your clients, and the responsibilities that come with it. In particular, you're responsible for:
- telling your clients how you store their information and getting any consent you need, including to keep their records with an Australian software provider;
- what you choose to enter into Samuel Suite;
- meeting your own record-keeping, privacy and professional obligations, including those that continue after you stop using Samuel Suite; and
- if you practise outside Australia, checking that you can lawfully store your clients' records with us.
We store and handle your clients' information on your behalf, only to provide the service, as set out in our Privacy Policy.
6. You make every clinical decision
- Samuel Suite is a reference and record-keeping tool. Its repertory and materia medica are reference texts, and its rubric suggestions and rankings are there for you to consider.
- Some suggestions are produced automatically, using artificial intelligence, from the case notes you write. They may be incomplete or wrong. Check them against the repertory and your own judgement.
- Nothing in Samuel Suite is a diagnosis, clinical advice, or a recommendation to treat. All clinical judgement, prescribing and client care are yours.
- You're responsible for what you type in and for how you use what Samuel Suite shows you.
7. Fair use
When you use Samuel Suite, you agree not to:
- break the law, or use Samuel Suite for fraud, spam, harassment or hateful content;
- upload anything you don't have the right to use, or anything that infringes someone else's rights;
- try to get into other people's accounts or data, or interfere with the security or running of the service (including malware, overloading it, or probing for weaknesses);
- copy, scrape or resell our software or our edited repertory and materia medica content, or try to work out our source code; or
- try to make the automatic suggestion features do things they aren't designed for, such as getting around their limits or safeguards.
Automatic features have a fair-use limit each month. If an account goes well beyond normal practice use, we may slow or pause those features for that account until the next month, and we'll tell you if that happens. We may remove content that breaks these terms.
8. Your content and ours
- Your content stays yours. Your client records, case notes and other content belong to you. You let us store and process them only to run Samuel Suite for you.
- Samuel Suite is ours. The software, its design, and our edited and structured versions of the repertory and materia medica belong to us. The original public-domain books remain in the public domain.
- Feedback. If you send us ideas or suggestions, we may use them freely, without payment or credit.
- Rights concerns. If you think something in Samuel Suite infringes your rights, email hello@samuelsuite.com with the details and we'll look into it promptly.
9. Export and closing your account
- You can export your client records at any time.
- You can close your account by cancelling and emailing us. Export your records first; you probably have record-keeping obligations to your clients that last longer than your subscription.
- After your account closes, we delete your data as set out in our Privacy Policy.
10. The service
- We work hard to keep Samuel Suite available and accurate, but we can't promise it will always be uninterrupted or error-free.
- We improve Samuel Suite all the time, so features may change. If we remove something important you're paying for, we'll tell you first.
11. Suspending or ending your account
We may suspend or close your account if:
- a payment fails and isn't fixed after we've told you;
- you seriously or repeatedly break these terms; or
- we need to, to protect the security of Samuel Suite or other people's data, or to prevent fraud.
Unless there's an urgent risk, we'll tell you first and give you a chance to fix the problem and export your records.
12. Liability
- Nothing in these terms excludes rights you have under the Australian Consumer Law that can't be excluded. Where the law lets us limit our liability for breaching those rights, our liability is limited to supplying the service again, or paying the cost of having it supplied again.
- Otherwise, to the extent the law allows, our total liability to you is limited to the fees you paid us in the 12 months before the claim, and neither of us is liable to the other for indirect or consequential loss.
- You're responsible for claims that arise from your clinical decisions, or from your breach of section 5 or section 7.
13. Changes to these terms
We may update these terms. If a change matters, we'll tell you by email or in Samuel Suite at least 30 days before it takes effect. If you don't agree, you can cancel before then.
14. General
- These terms, our Privacy Policy, our Refund policy and the plan you choose are the whole agreement between us.
- Queensland law applies, and the courts of Queensland can hear any dispute.

Founding Member schedule
This schedule adds to the terms above for practitioners on the Founding Member plan. If the two differ, this schedule applies.
What the Founding Member plan is
- The Essentials Unlimited plan (every feature, no client limit) at A$49 a month or A$490 a year, GST included. In New Zealand: NZ$65 a month or NZ$650 a year, GST included.
- There are 25 Founding Member places, and they go in the order people sign up. If more than 25 people pay at the same moment, everyone who paid gets a place.
Your price is locked for 12 months
- Your Founding Member price stays the same for 12 months from the date of your first payment, even if our prices go up.
- At least 30 days before your 12 months end, we'll email you to tell you your new price and the date it starts.
- After 12 months, you move to our price at that time for the plan that fits your practice: the Essentials plan if you have 40 or fewer active clients, or the Essentials Unlimited plan if you have more. You can cancel before then if you'd rather not continue.
- The Founding Member plan covers the Essentials Unlimited plan only. It doesn't include any future plans with extra features.
- If you cancel, your Founding Member price ends when your paid period ends. If you come back later, you join as a regular customer on the plan you choose.
- If you take our 30-day money-back guarantee, your founding place is released for someone else. You can't take a Founding Member place again after a refund.
Shaping Samuel Suite with us
Your Founding Member price is our thank-you for your input. As a Founding Member, you agree to take part in our feedback program: each month, a quick survey or a short call with our founder.
If you can't make a call, tell us and we'll rebook it. Please keep your clients' names and identifying details out of your feedback. We may use your feedback freely to improve Samuel Suite, and we won't name you or quote you publicly without asking first.
